Concierge makes it easy for event managers to send text messages to their guests, either scheduled in advance or in real time. Concierge provides an “event hotline” so guests can easily text the team to get support during events. What types of events is Concierge used for? Typically corporate and non-profit multi-day events. Examples: partnership meetings, executive offsites, festivals, incentive trips, golf tournaments, and customer hospitality. What number will my messages come from? Concierge registers a regular ten-digit U.S. phone number in advance of the event. Toll-free numbers and shortcodes are also available for larger events. These numbers can be published in “know before you go” documents and marketing materials. Can guests respond to messages? Yes. Guests can respond like any regular text. Team members can be notified via text, email, or Slack when guests send a message. Can guests call the event phone number? Yes. Call forwarding can be set up to any other number (e.g. a cell phone) so inbound calls are routed to the team. Is Concierge an app? Concierge is a mobile-optimized web app that works from desktop or smartphone. There is nothing that guests or the event team need to download in advance. Does Concierge replace our event app? It can. Some customers use Concierge to augment an event app because some guests won't download the app or won't turn on push notifications. Does Concierge send group messages to multiple people on the same thread? No. You can send messages to all guests at once, to a smaller list, or to an individual guest. From the guest’s perspective, all messages are between the event phone number and them only. Guest contact information is kept private from other guests. How much does Concierge cost? For a large event, schedule a time to discuss needs. ### Why should we use Concierge? We already use an event app. Why should we use texting? Guests often don’t want to download another app, and even if they do, they may not turn on push notifications. With texting, you can establish a one-to-one connection from registration. Information that might previously live in an app—like daily schedule details—is easy to share as a link from a text. Concierge provides delivery confirmation of all messages. We normally text from a regular cell phone. Why Concierge? It is difficult to manage many event contacts from a personal phone. Teams often don’t want to give out personal numbers, and they want shared visibility into guest messages. Guests don’t want to be included on a group thread. Concierge provides an event hotline number, the ability to text guests individually at once, and shared team visibility into conversations. We use email. Why texting? It is difficult to reach guests via email during or even before events. Guests may not be checking email for schedule updates. Texting is a fast, personal channel for real-time communication. ### International events Does Concierge work with international numbers? Yes. Concierge can send text messages to numbers in over 200 countries, including participants from Europe, Asia, and the Americas. Does Concierge work in international destinations? Yes, anywhere guests can receive text messages on a cellular network. Guests who send and receive texts while traveling internationally may incur carrier fees unrelated to Concierge. Does Concierge work with WhatsApp? Yes. Concierge can send scheduled and ad hoc messages from a white-labeled WhatsApp business profile (the brand or the client’s brand). There are restrictions and constraints; schedule a call to discuss. Meta currently does not permit unsolicited WhatsApp messages from businesses to U.S. phone numbers, so WhatsApp is best used for international guests. A hybrid SMS + WhatsApp solution is available so different guests can receive communications in their preferred channel. ### Signing up and opting out QR code signage? Yes. Concierge offers a mobile-friendly, customizable landing page with each account to collect signups, and can help set up QR code signage. What if guests don’t want to receive texts? Only send texts to registered guests who have given permission. Reminders typically include how to unsubscribe, e.g. “Reply STOP to unsubscribe”.
